1. Information we collect

Information you give us directly

• Name, email address, and (optional) phone number when you use the contact form or book a call.
• Anything you write to us by email or in coaching documents you choose to share.
• Billing information when you become a paying client — processed by our payment processor and never stored on our servers.

Information collected automatically

• Basic, aggregated traffic information such as page visited, approximate region, device type, and referring source. We use this to understand which pages are useful.
• Small cookies needed for the site to function and, with your consent, to measure traffic. See our Cookie Policy.

2. How we use information

• To reply to your messages and book consultations.
• To deliver the services you’ve hired us for.
• To send transactional emails (appointment confirmations, follow-ups, invoices).
• To improve the site and decide what to write about next.
• To comply with our legal and accounting obligations.

We do not sell, rent, or trade personal information. We do not run retargeting ads. We do not share client coaching notes with any third party.

3. Legal basis (where applicable)

Where the GDPR or similar laws apply, our legal basis is performance of a contract (delivering services you’ve booked), our legitimate interest in running a small business, your consent (for analytics cookies and marketing email), and our legal obligations.

4. Third-party processors

We use a small, vetted set of providers to run the practice:

• Email and calendar: a mainstream productivity suite.
• Payments: a PCI-compliant payment processor.
• Website hosting: a US-based shared hosting provider.
• Privacy-respecting analytics: aggregated traffic only, no personal profiles.

Each of these providers has its own privacy policy and processes data on our behalf under a data processing agreement.

5. Retention

Contact-form messages are kept for up to 24 months. Client engagement notes are kept for up to 7 years to meet US tax and professional record-keeping standards, then deleted. You can ask for earlier deletion at any time.

6. Your rights

You may ask us at any time to: (a) see what personal information we hold about you, (b) correct it, (c) delete it (subject to our legal record-keeping obligations), (d) export it, or (e) stop using it for a specific purpose. Send these requests to manager@jenhargis.com and we will respond within 30 days.

California residents have additional rights under the CCPA / CPRA, including the right to know, delete, correct, and opt out of any “sale” or “sharing” of personal information. We do not sell or share personal information as those terms are defined.

7. Children

The studio’s services and website are intended for adults. We do not knowingly collect personal information from children under 13.

8. Security

We use industry-standard safeguards: HTTPS across the site, strong unique passwords, two-factor authentication on all client-data accounts, and limited internal access. No system is perfectly secure, so we ask clients not to send sensitive medical or financial details by email.

9. Changes

If we make a material change to this policy we’ll update the “last updated” date above and, when appropriate, post a notice on the homepage.
